1Introduction
- 1.1
This Refund and Cancellation Policy ("Policy") sets out the terms under which Kidsology issues refunds, accepts cancellations, and manages rescheduling across all of its programs and services.
- 1.2
This Policy applies to all clients of Kidsology, including parents, guardians, schools, sport academies, and corporate partners. By enrolling in any Kidsology program, the Client acknowledges and agrees to the terms set out below.
- 1.3
Kidsology is a youth development company based in Dubai, UAE. It is licensed in Dubai Mainland and KHDA-approved. Kidsology provides non-clinical programs focused on mindset, confidence, emotional strength, focus, communication, leadership, and life skills for children and teenagers aged 4 to 18.
- 1.4
This Policy is effective from 3 October 2026 and supersedes any prior verbal or written understandings, including Versions 1.0 and 1.1 of this Policy.
2Definitions

| Subscription | A monthly pre-paid block of Sessions purchased by a Client for the Elite Development Program. |
| Course / Cohort | A structured group program of 8 one-hour Sessions, delivered at a partner school or online, or at the Kidsology Centre in monthly blocks of 4 Sessions. |
| Program | Any structured Kidsology offering across the four program lines listed in Clause 3.1. |
| Trip | A multi-day Kidsology event involving travel (e.g., the UK Summer Camp or a school trip abroad). |
| Workshop / Event | A standalone Kidsology session, camp, workshop with a company, guest speaker talk, or one-off engagement. |
| Showcase | The Kidsology UAE-wide student showcase and tournament. |
| Academy | A sport, education, or partner organisation contracting Kidsology to deliver Performance Mindset programs to its athletes or students. |
| School | An educational institution contracting Kidsology to deliver Future Skills programs to its students. |
| Drop-Out | A Client's decision to discontinue a Program before its scheduled completion. |
| Documented Emergency | A medical or family emergency supported by appropriate written evidence. |
| Force Majeure | Events outside the reasonable control of Kidsology, as defined in Clause 12. |
3General Refund Principles
- 3.1
Kidsology operates four program lines: (1) Elite Development (1-on-1); (2) Future Skills; (3) Performance Mindset; (4) Trips, Workshops & Events. Refund terms vary by program line and are detailed in the dedicated sections below.
- 3.2
All refunds, where applicable, are issued in AED. All transactions are conducted in AED.
- 3.3
Refunds are issued at the discretion of the Founders (Rasmi Bani Hani and Anna Podgornaya) in accordance with this Policy.
- 3.4
Where a Client drops out of a Future Skills Course, the following scale applies unless a specific program section states otherwise. Course materials are included in the course price.

4Elite Development (1-on-1): Specific Terms
- 4.1
Subscription. The Elite Development Program is sold as a monthly Subscription of 16 Sessions delivered as 8 Visits of 90 minutes, at the price set out in the Kidsology Master Pricing Sheet. It is not sold per Session.
- 4.2
Unannounced Reschedule. Each month, the Client may reschedule one (1) Session without prior notice and without penalty, subject to coach availability.
- 4.3
All Other Cancellations. Any further Session cancelled or missed by the Client in the same month, for any reason other than a Documented Emergency, is forfeited. The Session is deducted from the Subscription, no refund is issued, and no make-up Session is offered.
- 4.4
Documented Emergency. Where a Session is missed due to a Documented Emergency, the Session is preserved and rescheduled at a mutually agreed time. No refund is issued for preserved Sessions.
- 4.5
Discontinuing the Subscription. A Client may stop the Subscription at the end of any paid month by written notice. Sessions remaining unused in a paid month are not refundable, except where Clause 4.4 applies.
- 4.6
Siblings. Where two siblings are enrolled together at the same time on the same or a similar program, the combined price in the Master Pricing Sheet applies. Where siblings follow different programs or different timings, each sibling receives the per-sibling monthly reduction in the Master Pricing Sheet. If one sibling discontinues, the remaining sibling reverts to the standard individual Subscription price from the following month.
5Future Skills (Centre, Schools & Online): Specific Terms
- 5.1
Future Skills Programs are delivered as structured Cohorts of 8 one-hour Sessions at partner schools or online, or at the Kidsology Centre in monthly blocks of 4 Sessions.
- 5.2
Drop-Out Refund. The Standard Drop-Out Scale in Clause 3.4 applies.
- 5.3
Centre (B2C) Refund Issuance. Where a refund is due to a parent enrolled directly at the Kidsology Centre, Kidsology will issue the refund within 7 working days of approval.
- 5.4
Schools (B2B) Refund Issuance. Where a refund is due in respect of a student enrolled through a partner school, Kidsology will refund the school directly. The school is responsible for onward refund to the parent in accordance with the school's own procedures and timelines. Where the parent paid Kidsology directly, Kidsology refunds the parent.
- 5.5
Attendance. A Client is permitted a maximum of two (2) excused absences per course, provided the absence is a Documented Emergency. Unexcused absences are not permitted; repeated unexcused absences may trigger removal from the cohort.
- 5.6
Make-Up Provisions. (a) For the first excused absence at the Centre: a free make-up session may be offered at the Kidsology Centre. (b) For bulk absences at schools: Kidsology may, at its discretion, deliver an additional session at the school. (c) For all other absences: Kidsology will provide a written parent guide covering the missed content.
- 5.7
Online Courses. Online Courses are delivered live by a Kidsology instructor and follow Clauses 5.2 to 5.6.
- 5.8
Centre Monthly Blocks. Centre Courses are paid per monthly block of 4 Sessions. A Client may stop at the end of any paid month by written notice. Sessions remaining unused in a paid month are not refundable, except for a Documented Emergency under Clause 5.5.
6Performance Mindset (Athletes & Academies): Specific Terms
- 6.1
Performance Mindset Programs are contracted directly with the Academy. The contractual relationship is between Kidsology and the Academy, not between Kidsology and any individual athlete.
- 6.2
Individual Athlete Drop-Out. If an individual athlete chooses to discontinue participation, no refund is issued. The contract and fees remain payable by the Academy.
- 6.3
Academy Cancellation Mid-Block. If an Academy cancels a contracted block of sessions before completion, Kidsology will issue a pro-rata refund for the unused sessions, less a cancellation fee of AED 1,000. No certificate will be issued for an incomplete block.
- 6.4
Kidsology-Initiated Session Cancellation. If Kidsology cancels a session, the Academy may choose either (a) a refund for that session, or (b) a make-up session at a mutually agreed date.
- 6.5
Refund Processing. Refunds due to Academies are processed within 7 working days of refund approval.
- 6.6
Attendance. The attendance rules in Clauses 5.5 and 5.6 apply equally to Performance Mindset programs.
- 6.7
Certificate Trigger. Certificates of completion are issued only after final payment is received.
7Trips, Workshops & Events: Specific Terms
- 7.1
UK Future Leaders Trip: Minimum Group Size. The UK Future Leaders Trip operates with a minimum confirmed group of eight (8) children. No payment is collected from families until the minimum of 8 confirmed enrolments is reached.
- 7.2
Payment Schedule (Trips). A deposit, stated in the trip quote, is paid at registration. The balance is paid once the visa is issued or the flights are booked, and in any case no later than one (1) month before travel.
- 7.3
Visa Not Approved. If a child's visa application is unsuccessful, Kidsology will refund all amounts paid by that family, less the airline ticket cancellation fee.
- 7.4
Family or School Cancellation After Booking. If a family or school cancels after booking, Kidsology will refund the amounts it can recover from third-party providers (airlines, hotels, ground operators). Visa fees are non-refundable.
- 7.5
Camps, Other Trips and Free Offers. Specific refund terms for Dubai camps and other trips will be published at the time of each event launch. Parent talks, seminars, trip information workshops, school information stands, workshops with companies, guest speaker talks and other in-school events offered free of charge do not generate refund obligations.
- 7.6
Showcase. Showcase registration fees and school participation fees are non-refundable.
8Cancellation Notice Requirements

9Rescheduling Policy
- 9.1
Rescheduling of 1-on-1 Sessions is governed by Clauses 4.2 to 4.4 and is subject to coach availability.
- 9.2
Rescheduling of group, school, or academy sessions is at the sole discretion of Kidsology and must be agreed between the parties in writing.
- 9.3
Trip dates are fixed and are not subject to individual rescheduling.
10No-Show Policy
- 10.1
A no-show occurs when a Client does not attend a scheduled Session and has not used the reschedule allowance in Clause 4.2 or provided notice in accordance with Clause 8.
- 10.2
A no-show is treated as a used Session. The Session is deducted, no refund is issued, and no make-up Session is offered.
11Attendance and Make-Up Rules
- 11.1
A Client is permitted a maximum of two (2) excused absences per course, supported by appropriate documentation in the case of a Documented Emergency.
- 11.2
Make-up provisions are governed by Clause 5.6 and apply to all group programs.
- 11.3
Where a make-up session cannot reasonably be arranged, Kidsology will provide a written parent guide covering the missed content as the standard remedy.
12Force Majeure
- 12.1
Force Majeure events include, but are not limited to: coach illness, government restrictions, building or venue closure, severe weather, natural events, and public emergencies.
- 12.2
Where Kidsology is unable to deliver a scheduled session due to a Force Majeure event, Kidsology will reschedule the affected session. The session is preserved in the Client's Subscription or Course. No refund is issued in respect of rescheduled sessions.
- 12.3
Kidsology will make reasonable efforts to communicate Force Majeure cancellations and reschedule dates promptly.
13Payment Terms (Summary)
- 13.1
Accepted payment methods. B2C (parents/individuals): bank transfer, payment link, cash. B2B (schools/academies): bank transfer, payment link, cash, cheque.
- 13.2
Default invoice terms are Net 0 (payment due on receipt). Net 15 or Net 30 terms may be agreed in writing for large corporate or institutional clients.
- 13.3
School Course Payments. School course fees are payable per child in two equal parts: 50% at program start and 50% on completion, when the end reports are submitted and certificates are handed over. Parents may pay Kidsology directly or pay through the school, as the school prefers. Where the second part has not been paid, Kidsology will withhold certificates of completion until payment is received.
- 13.4
Certificates of completion are issued only after full payment is received.
- 13.5
Offer Validity. Written offers and proposals for programs, and written quotes for trips, are valid for fourteen (14) days from the date issued. Prices may change after expiry.
- 13.6
Showcase Payment. Showcase registration is payable in full at registration.
14Refund Processing and Timelines
- 14.1
Approved refunds are issued to the original payment method by default. The Client may instead elect to receive the refund as a credit toward a future Kidsology Program of equal or greater value.
- 14.2
Approved refunds are processed within 7 working days of approval, for both B2C and B2B clients.
- 14.3
Approval authority for all refunds rests with the Founders, Rasmi Bani Hani and Anna Podgornaya.
15How to Request a Refund or Raise a Dispute
- 15.1
All refund requests and disputes must be submitted in writing by email to Kidsology.
- 15.2
Kidsology will acknowledge the request within 5 working days and provide a substantive response, including a decision or a request for further information, within a reasonable timeframe thereafter.

16Governing Law
- 16.1
This Policy is governed by the laws of the Emirate of Dubai and the federal laws of the United Arab Emirates applicable therein.
- 16.2
Any dispute arising out of or in connection with this Policy shall be subject to the exclusive jurisdiction of the courts of Dubai Mainland.
17Acknowledgment
By signing below or by ticking the acknowledgment box on the Kidsology enrolment form, the Client confirms that they have read, understood, and agreed to this Refund and Cancellation Policy.
